Snaptally turns time notes you have already written — on paper, as text, from a timer, or in your calendar — into a formatted timesheet. This policy explains what data that involves, where it lives, and who else touches it.
Snaptally is operated by Artchemy Labs LLC ("we", "us"). If you have questions, contact us at privacy@snaptally.xyz.
Your timesheet entries are stored in your browser, not on our servers, unless you deliberately turn on Sync. You can use the entire app without an account. We do not sell your data, and we do not use your timesheet content or your calendar data for advertising or for training AI models.

Entries are saved in your browser's local storage. During normal use they are not uploaded anywhere. If you never enable Sync, your entries never reach our infrastructure.
Because they live in your browser, clearing your browser data will erase them permanently. Private and incognito windows do not retain data between sessions. Use Sync, create an account, or export to CSV if you need them to persist.
Sync is optional. When you generate a sync code, your entries are stored on our server under that code so they can be loaded on your other devices. If the code is not linked to an account, the stored copy is kept for four weeks from the last time it was used — each sync restarts that window, so a sheet in regular use is not removed. If you link it to an account, the copy is kept until you delete it. You can purge the server copy from the sync settings at any time.
Accounts are optional. Authentication is handled by Clerk, which stores your name and email under its own privacy policy. On our own server we keep a minimal profile: your Clerk ID, email, display name, and account tier — used to link your account to your workspaces. No timesheet content is stored at the account level. You can delete your account at any time from your account page.
Snaptally's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
If — and only if — you choose to connect Google Calendar, Snaptally requests the narrowest scope that makes the feature work:
calendar.events.readonly — read-only access to events on your primary calendar, so your existing calendar blocks can be turned into timesheet entries that you then review and select.userinfo — to display which Google account is connected, so you can tell whether you linked the right one.When you transcribe a photo or a block of text, the content is sent to Google's Gemini API to identify times and tasks, and the formatted result is returned to your browser. We do not store the photo or the text. It is processed in transit and discarded. Google handles it under its own data policies for the duration of that request.
Google Calendar data is never sent to the transcription service — calendar events are already structured and need no interpretation.
Snaptally Exporter is an optional Chrome and Edge add-on that fills your Snaptally entries into a FunctionFox timesheet. It is separate from the web app, and nothing in this section applies unless you have chosen to install it. Snaptally is not affiliated with or endorsed by FunctionFox.
The add-on runs on exactly two sites and no others:
When you enter a sync code in the panel, the add-on requests that code's entries from Snaptally's own API — the same request the web app makes. That is the only network request the add-on ever sends. It contacts no other server, no analytics service, and no third party.
The add-on stores your sync code, your colour theme, and a record of which entries you have already pushed. All of it is held in your browser's local extension storage, on your own device. None of it is transmitted to us beyond the sync-code lookup described above.
The add-on writes only what you have selected, and only after you confirm it. Before anything is written it shows you the entries, the total hours, and the Client, Project and Task they will be filed under, and waits for you to confirm. You choose those three yourself — the add-on never picks them for you, and it fills only Date, Hours and Description. It does not run in the background, does not act while you are away from the page, and does not have permission to reach any site other than the two named above.
Uninstalling the add-on removes its stored data with it. Your FunctionFox account, and your relationship with FunctionFox, are unaffected either way.
We log basic events, such as "a transcription happened" or "sync was used", to understand how the app is being used. Each event includes a one-way hashed IP address that cannot be reversed, a timestamp, and the event type. We do not log entry content, names, emails, or raw IP addresses. We do not use third-party advertising or cross-site tracking.
Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA. To make a request, email privacy@snaptally.xyz from the address associated with your account. We will confirm receipt and respond within the period the applicable law allows — generally 30 days under the GDPR and 45 days under the CCPA. We will not charge you for a request or treat you differently for making one.
Workspace members and invitations. If you create a shared workspace, we store the list of people in it, their role, and who invited them. If you send an invitation to an email address, we store that address so the invitation can be locked to its recipient — this is the one case where we hold an address for someone who may never have used Snaptally. It is used only to validate that invitation, is never emailed for marketing, and is removed when the invitation is accepted, withdrawn, or expires. Invitations expire automatically and can be withdrawn at any time from the account page.
Members of a shared workspace can see each other's names, email addresses and roles. They cannot see each other's time entries. Workspace membership shares a client code list, not anyone's timesheet — including from the workspace owner, who is billed for the seats but has no access to what is logged in them.
Synced entries that are not linked to an account are removed four weeks after they were last used; each sync restarts that window. Synced entries linked to an account are kept until you purge them or delete the account. Workspace records are kept while the workspace exists. Account records are kept until you delete your account. Analytics events are retained in aggregate. You can remove any of it yourself at any time using the controls above, and if these periods change, this section will be updated before the change takes effect.
Snaptally is a tool for working professionals and is not directed at children under 13, and we do not knowingly collect their personal information.
If we make material changes we will update the date at the top of this page and, where appropriate, notify you in the app. The version linked from our homepage is always the current one.
